The Town of Dedham seeks highly qualified candidates for the position of Per Diem Event Coordinator at the historic Endicott Estate. Working closely with the Endicott Estate Director, the Event Coordinator is responsible for professional work which supports efficient facility operations and event planning for municipal, social, corporate, cultural, and recreational events that take place at the Endicott Estate.

Qualifications

Education & Experience

  • High school diploma, including, or supplemented by, training in office procedures, business and computer applications such as Word, Excel, and Powerpoint.
  • A Bachelor’s Degree in communications, marketing, business administration or related field is preferred but not required.
  • Three to five years of experience in planning and supervision of meetings and events; or any equivalent combination of education and/or experience.
  • Must receive an acceptable CORI/SORI report.

Knowledge, Ability & Skill

  • Proficiency in the use of Microsoft Office (Word, Excel, and PowerPoint), Munis and willing to learn new software programs as needed.
  • Possess a thorough knowledge of and familiarity with modern office equipment, technology, electronic equipment, and software applications and operations.
  • A demonstrated knowledge of general computer skills.
  • Skills, including but not limited to bookkeeping, typing, filing and telephone skills.
  • A high degree of organizational, time management and attention to skills.
  • Ability to prioritize, multi-task, and handle diverse tasks.
  • Ability to understand written procedures, and understand complex, multi-step written and oral instructions.
  • Ability to work independently and as part of a team required.
  • Ability to take initiative, exercise sound judgment and make decisions within scope of their authority.
  • Ability to work independently with minimum supervision.
  • Strong organizational skills.
  • Skills, including but not limited to bookkeeping, typing, filing and telephone skills.
  • High level of professionalism and the ability to maintain confidentiality.
  • Ability to relate and communicate in a positive manner and deal tactfully and appropriately with the guests, board/committee members, general public and town departments. Ability to recognize when communication should be referred to the Director.
  • Support the overall mission, vision, and policies and procedures of Endicott Estate.
  • Ability to organize and maintain detailed and extensive records work with a long term scheduling system for the proper allocation of space and resources for events that occur at the Estate.
  • Ability to set priorities, solve problems work effectively under time constraints to meet deadlines.
  • Excellent public relations, verbal and written communication skills.
  • General knowledge of principles and methods for showing, promoting and selling products or services.
  • Ability to attend and oversee events that occur during the day, at night, or on weekends.
  • Ability to coordinate, organize and plan with extreme attention to detail.
  • Knowledge of principles and processes for providing customer and personal service.

Essential Functions of the Job

  • Assists the Endicott Estate Director with operations and events for the Endicott Estate.
  • Provides support and ensures proper and professional department operations.
  • Maintains strong client and community relations to ensure that meeting and event specifications are communicated and executed successfully.
  • Provides on-site event assistance to groups that use the Estate with direction from the Director.
  • May assist with the development and coordination of fundraising events for the Estate.
  • Due to the nature of the event industry, employee may be asked to work varying schedules to assist with the coordination and execution of details related to a variety of events such as, but not limited to, meetings, conferences, weddings, birthdays, anniversaries, charity events, sales meetings, executive retreats and community events.
  • Becomes fully familiar with the policies and procedures associated with use of the Endicott Estate and be able to explain them clearly and concisely to users of the Estate as well as caterers and vendors doing business at the Estate.
  • Responds to emergencies or incidents associated with events that take place at the Estate and helps find a solution to the problem.
  • Responds to concerns and enforces guidelines and policies.
  • Assist the Director in the care and security of the grounds and buildings on the Estate property.
  • Assists in all other functions of the Endicott Estate.
  • Performs other similar or related duties as required or as situations dictate.
